Who operates CTRLRoom

CTRLRoom is operated by Ayliea LLC (“CTRLRoom,” “we,” “us,” or “our”). This policy applies to getctrlroom.com, the CTRLRoom application, and the concierge pilot.

Information we collect

• Pilot and contact information: name, work email, role or company, roster size, artist or release focus, public links, and the workflow problem you describe.
• Account and workspace information: profile details, team membership, artists, campaigns, assignments, decisions, outcomes, evidence, and other content you choose to add.
• Connected-source information: information you authorize CTRLRoom to receive from third-party services or public sources.
• Usage and technical information: product events, browser and device details, approximate network information, diagnostics, and security logs.
• Communications: support requests, onboarding notes, and other messages you send us.

Please do not submit passwords, payment-card data, private contracts, unreleased media, or information you are not authorized to use.

How we use information

• Evaluate pilot applications and coordinate onboarding.
• Provide, personalize, secure, troubleshoot, and support CTRLRoom.
• Maintain workspace history, recommendations, assignments, and measured outcomes.
• Understand activation and product usage so we can improve the service.
• Communicate about the pilot, service changes, security, and support.
• Comply with law and enforce our agreements.

AI-assisted features

When you use an AI-assisted feature, CTRLRoom may send the relevant workspace context to contracted model providers to generate an output. AI output can be incomplete or inaccurate. Review recommendations before relying on them, sharing them, or taking action.

How we disclose information

We may disclose information to service providers that help us host, authenticate, analyze, secure, communicate, and operate CTRLRoom. We may also disclose information when required by law, to protect rights or safety, during a business transaction, or when you direct us to do so. Service providers receive only the access needed for their role and are subject to contractual or legal obligations.

Analytics, cookies, and similar technologies

CTRLRoom uses essential browser storage for sessions and preferences, plus limited product analytics to understand whether people reach important milestones. We may use session replay only where enabled and subject to the controls shown in the product. Sensitive form fields and designated private views are excluded from replay.

Retention

We retain information only as long as reasonably needed to provide the service, evaluate and operate pilots, maintain security and records, resolve disputes, and meet legal obligations. Retention depends on the type of information, the workspace relationship, and whether an account or pilot remains active.

Security

We use administrative, technical, and organizational safeguards designed for the nature of the information we handle. No system is completely secure, and we cannot guarantee that unauthorized access or loss will never occur.

Your choices

You may ask to access, correct, or delete personal information, or object to certain processing, by contacting us. Some requests may be limited by account security, recordkeeping, legal obligations, or the rights of others. Workspace members can also manage available privacy and replay settings inside CTRLRoom.

Children

CTRLRoom is a business service and is not directed to children under 13. We do not knowingly collect personal information from children under 13.

Location and changes

CTRLRoom is operated from the United States. We may update this policy as the service changes. We will post the revised policy here and update the effective date; material changes may also be communicated through the service or by email.
